Automating WhatsApp-first customer service

For many businesses in the region, WhatsApp is the front desk. Automation can answer routine questions in seconds, route everything else to the right person and keep every conversation linked to the customer's record, as long as it follows clear rules and a human is always one tap away.

Customers message businesses on WhatsApp because it is fast and familiar. The trouble starts when one shared phone receives hundreds of messages a day and the quality of each answer depends on who happens to be holding it.

Move to the WhatsApp Business Platform

The WhatsApp Business app works well for a single phone. Once several people answer messages, or you want to connect a CRM or an AI agent, you need the WhatsApp Business Platform, accessed directly through Meta or through an approved business solution provider. Plan around its rules: you can reply freely within 24 hours of a customer's last message, and outside that window you must use pre-approved message templates.

Start with your most common questions

Export a month of chats and group the messages by topic. Opening hours, prices, order or booking status and payment confirmations usually come up again and again. Answer those automatically, using live data from your systems rather than canned text that goes out of date.

Design the hand-off

Route conversations by topic and language, show the staff member the whole conversation and the customer's record, and tell the customer when a person has taken over. Never leave a customer stuck in an automated loop with no way out.

Keep every conversation in your CRM

Link each chat to the customer's record so the next person can see what was said, what was promised and what was paid.

Respect consent and privacy

Only send promotional messages to people who have agreed to receive them, store conversations securely and limit who can read them.

Track speed and satisfaction

Measure first-response time, the share of conversations resolved without a hand-off and a simple satisfaction rating at the end of each chat. Done well, customers get answers in seconds and your team spends its time on the conversations that really need a person.
